Healthcare finance teams: agents that never touch the EHR

How hospital AP and shared services use ProcureAI on supplier invoices and POs today, what data stays out of clinical systems, and what a future clinical-adjacent agent would still refuse to do. HIPAA compliance is not offered by Stellitron today.

Administrative finance is not clinical care

PUBLISHED RESEARCH / DOCUMENTATION

U.S. Department of Health and Human Services guidance on de-identification explains when health information is no longer treated as protected health information under HIPAA rules. Stellitron does not offer HIPAA compliance or a BAA for its public trials today; hospital teams should involve privacy and compliance before any production data is used. This article focuses on procurement and AP documents that finance already processes outside the EHR.[1]

Hospital supply chain and AP teams routinely work in ERP or P2P systems — Coupa, Oracle, Workday, or SAP — with POs, receiving documents, and supplier invoices. Those records may reference departments or cost centres; they are not a substitute for a patient chart. ProcureAI agents are used in healthcare pilots on that administrative slice: match, contract leakage, supplier screening, and recovery audits on AP exports.[1]

What the pilot connects to

PROPOSED BLUEPRINT

In scope: purchase orders, goods receipts or packing slips your materials management team files, supplier invoices (PDF or EDI), contract PDFs for facilities and clinical-adjacent vendors, and AP payment history extracts. The Invoice Agent, Contract Agent, and Recovery Audit Agent map directly to those artefacts. FinanceAI can join for bank reconciliation and close prep on the hospital operating accounts — still without patient billing systems unless you explicitly scope them later.[2]

Out of scope for the initial pilot: electronic health records, radiology PACS, nurse scheduling with patient identifiers, and any workflow that requires clinical judgement. Agents do not read HL7 ADT feeds or problem lists for match logic. If a line description accidentally contains a patient name, your redaction or DLP policy should catch it before upload; the pilot contract should say who owns that scrub.[2]

Synthetic Summit Regional Group-style data in the public trial lets finance leaders train approvers without PHI. Move to de-identified or production administrative feeds only after privacy sign-off.[2]

How buyers and controllers see results

PROPOSED BLUEPRINT

Buyers and AP specialists open ProcureAI beside Coupa or the ERP screen they already use. Holds reference PO and invoice numbers your team recognises; clause citations pull from executed vendor PDFs, not from the EHR. Supplier Risk Agent screening uses the feeds your compliance team approves — not ad hoc web search on clinicians.

A hypothetical future HealthAI module — not shipped today — would still respect the same boundary: administrative scheduling and revenue-cycle handoffs might read permitted operational data, but clinical decision support, diagnosis, and orders would remain with licensed staff and certified systems. Naming HealthAI here is a design constraint statement, not a product announcement.

Measure pilot success on administrative outcomes: fewer unmatched invoices reaching payment, faster clearance of price holds, documented contract renewals before auto-renew windows. Do not claim reduced length of stay or clinical quality metrics from AP automation.

Privacy review before scale

PILOT EVALUATION

Complete a data-flow diagram that shows every system touched, every subprocessors, and every log field. Confirm no connector credentials can reach the EHR VLAN. Run the pilot in your cloud region if policy requires it; see the companion article on customer-cloud IT checklists for network tasks.

When you are ready for identifiable operational data, use your organisation’s BAAs and vendor reviews — Stellitron’s role and attestations must match the contract you sign, not this article. Until then, treat the pilot as administrative finance only.

Healthcare finance leaders should expect pushback from clinical IT — that is healthy. The selling point is narrow: agents that never ask for EHR credentials and never post clinical orders, while still catching the supplier invoice that would have paid a 12% price creep against PO line three.
